How can an employee report their hours?

 

6. View: Filter and Display Options1. Overview of the Screen

The screen is structured in a tabular format, displaying one row per work package or task to which you can log time.
At the top, you can select the desired time period (e.g., one week) for which time should be recorded.

Modes for Time Tracking

In Can Do, time can be entered or viewed in three different display modes:

  • Daily view | Weekly view | Monthly view

In the daily view, entries are made directly per day and are ideal for detailed reporting.
In the weekly and monthly views, you can enter total hours for a task — the software automatically distributes these hours evenly across the relevant days for multi-day tasks.
This makes time tracking quick and efficient, especially when exact day-by-day documentation isn’t required.

You can easily switch between these views by clicking the corresponding buttons ("Days", "Weeks", "Months").
In the example shown, the “Days” option is activated to allow for daily time entries.
Time periods can also be selected flexibly via separate buttons or the “Time Period” field.

2. Column Overview and Their Meanings

Column Description
Favorites Marks tasks as favorites for quicker access.
Object Id Internal ID of the work package or object in the database.
Project Id Internal ID of the associated project.
Parent ID ID of the parent element (e.g., project structure).
Assignment ID ID of the assignment between task and resource (employee).
Resource ID Internal ID of the assigned resource (employee).
Status ID Technical ID of the current status (e.g., in progress, completed).
Budget Position Assigned budget position for the task.
Cost Center Organizational or financial classification of the activity.
Project Name Name of the project to which the task belongs.
Name Designation of the specific task or work package.
Manual Progress Manually entered work progress in %.
Aggregated Progress Automatically calculated progress (e.g., from packages or subtasks).
Status Current processing status of the task (e.g., "in progress", "completed").
Start Planned start date of the task.
End Planned end date of the task.
Remaining Duration Remaining time span until planned completion.
Duration Total duration of the task (between start and end).
Planned Originally planned total effort in hours.
Reported to Date Total hours logged for the task so far (incl. selected period).
Reported in Period Hours logged in the currently selected period.
Remaining Effort Effort not yet completed according to plan.
Planned to Date Planned effort up to the current time (incl. selected period).
Remaining Effort in Period Planned remaining effort to be delivered in the selected period.
Description Task description.
Path Full path within the project structure.
Project Owner Responsible person or department for the task.
Budget Position Assignment Budget position directly assigned to the resource assignment.
Planned in Period Planned effort within the current period.
Daily Columns (Mon–Fri) Entry of actual working hours per day (e.g., "2" for two hours).

3. Recording Time – Here's How

Select Time Period:
At the top in the "Time Period" section, choose the desired period for time tracking (days, weeks, or months).

Identify Task:
The list displays all tasks assigned to you for processing.

Enter Time per Day:
Under each weekday (e.g., "Tue, 15.07."), directly enter the number of hours worked.

Speech Bubble Icon (Comment Function):
Click the small speech bubble icon next to a time entry to:

  • Add a comment about your activity (e.g., details about the work step),

  • Enter multiple time entries per day and task (a detail window opens, e.g., 2h documentation + 1h meeting),

  • Additionally indicate whether a time entry is billable and — if not — specify the reason.

Save:
Your entries will only be saved once you click "Save Changes" at the top.

4. Additional Reporting Options

In addition to pure time tracking, employees can also report the degree of completion and the status of individual work packages.
These entries can be made in the detail window of the respective task via the “Edit Selection” button.

5. Adjusting Columns

Using the menu in the top right corner (three bars), you can:

  • Show or hide columns

  • Sort columns (ascending/descending)

  • Filter data

⚠️ Important:
The selected column configuration is not saved permanently – when reopening the view, the default layout will be loaded.
A permanent, system-wide column definition (including order) can be configured centrally by the Can Do administrator.

 

 

6. View: Filter and Display Options

 

Option Description
Favorites: ON/OFF Shows only tasks that have been marked as favorites.
Ad hoc: ON/OFF Shows tasks that were assigned to the department as ad hoc assignments.
Free Time Entry: ON/OFF Allows time entries before the planned start date and after the end date of a task.
Reportable Only: ON/OFF Hides tasks that are not reportable.
Load-Bearing Package: ON/OFF Shows tasks that are flagged as capacity blockers.
Hierarchy Displays tasks in a hierarchical project structure (e.g., Project → Phase → Package).
Assigned Only Filters the list to show only tasks assigned to you.
Open Shows only tasks that are still open (not completed or archived).
Hide Empty Hides tasks for which no hours have been recorded in the selected time period.
Include Archive Shows archived tasks/projects in the overview. (Active in screenshot)
Hide All Archived Completely hides all archived tasks/projects.
Include Archived with TR Shows archived tasks including time reports (TR = Time Reporting).
 
💡 Note:
These filter combinations help you focus on the tasks that are truly relevant — especially when working on multiple parallel projects.

7. Additional Notes

  • Locked days are marked with a lock icon — time entries are not possible on these days (e.g., due to reporting restrictions within the project).

  • With the Excel or PDF export function, you can export your entries for the selected time period.

  • The Can Do mobile apps also allow time tracking on the go (available for iOS & Android).
